HCPSS Hiring Process

As part of our effort to provide prospective employees a positive hiring experience, we have created a simple step-by-step process, enabling you to easily track where you are and what will happen next on your journey to becoming an HCPSS employee.

Depending on your intended position, our hiring process is divided into two pathways: candidate pool and vacancy. The two pathways follow the same 11-step process while differing in application deadlines, interviewing, and what happens if you are not selected.

Regardless of your desired position, know that our team is here to support you every step of the way.

Candidate Pool Pathway

If you are applying to become a teacher, substitute, student assistant, or entry-level custodian, you are on our Candidate Pool pathway.

Step 1: Review the job posting

Before you begin your application, be sure to review the posting for the position in which you are interested. Confirm that you meet the minimum qualifications, have familiarized yourself with the essential position responsibilities, skills, and abilities, and take note of the application requirements.

Step 2: Gather your application materials

Before you begin, please prepare the materials necessary to show you meet the position qualifications and any additional documentation listed in the Application Requirements section of the job posting.

Required materials may include the following depending on the position:

  • Professional license(s) or certificate(s).
    • Current or expired MSDE or out of state
    • National Board Certification or any additional certifications
  • Proof of education based on the qualifications for the desired position.
    • Education earned outside the U.S. requires an official foreign credential evaluation from an approved vendor.
  • Test scores required for educator licensure (Praxis, EdTPA, etc.)
  • A current resume or a list of positions held with date ranges.
  • Responses to Supplemental Application Questions if listed in the Application Requirements section of the job posting.

Step 3: Submit your application

Be sure to complete all parts of the application. Incomplete applications may not be considered.

You cannot make changes once your application has been submitted; however, you can withdraw your application and apply again if the position is still posted.

Step 4: Check your application status

Submitted applications are reviewed for qualifications, credentials, and departmental needs. Log back in to your candidate account periodically to view your application status. Monitor your email, including your spam folder, for communications from hcpss@myworkday.com. Keep your voice mailbox clear and able to accept incoming messages.

Step 5: Participate in screening (or an interview, if the position requires)

For some positions, you may be placed in the candidate pool following screening and verification that minimum qualifications have been met. For other positions, you may be invited to participate in a preliminary screening interview to evaluate your qualifications further and determine potential placement in the candidate pool. Invitations to interview are typically extended via email by the interview team member, not human resources, and will include the date, time, and format of the interview.

If you are placed in a candidate pool, your application status will be displayed as Candidate Pool. This means that your application materials will be available to the school administrators or other supervisors with vacancies or anticipated vacancies and you may be invited to interview.

Step 6: Prepare for your interview

We encourage you to prepare for potential interviews. Here are some helpful tips:

  • Review the essential position responsibilities in the job posting and brainstorming interview questions you might be asked to demonstrate your qualifications for the role.
  • Identify a few specific examples you can share from your experience to highlight your unique skills.
  • Review school websites or the HCPSS website to learn more about the school, school system, and role for which you have applied.
  • Practice interviewing with a friend or family member, and ask them for feedback.
  • Brainstorm a few questions you might want to ask at the end of your interview.
  • Now is also a great time to gather the email address and phone number of your current and most recent supervisors. You will need this information if recommended to advance in the process. Please note that coworkers, friends, neighbors, family members, or other “character” references will not meet the reference check process requirements.

Step 7: Prepare for follow-up

If you are selected for a position, you will receive communication from your Human Resources recruiter. If you are not selected, follow up communication will be sent by the school administration and you will remain in the candidate pool available for consideration for other positions. If you are no longer interested in this role, please withdraw your application via your candidate account.

Step 8: Complete required tasks

Your Human Resources recruiter will route you a series of tasks to initiate the professional reference check process and the Maryland Employment History Review process. Please complete the required tasks promptly.

Step 9: Review compensation information

For permanent positions, salary determination is conducted in accordance with the applicable master agreement. Please refer to the Compensation section of the job posting to identify which employee unit and master agreement applies to your position.

For temporary positions, rates of pay not specified in the job posting may be reviewed. Your offer letter will be sent electronically to your candidate account.

Step 10: Complete pre-hire tasks

After accepting an offer, your Human Resources recruiter will route a series of pre-hire tasks to your candidate account, including fingerprinting and I-9 Employment Verification before being cleared to start work.

Step 11: Receive your employee number and active directory credentials

Your hiring process is complete once you receive notification via email of your employee number and active directory credentials (email address and temporary password). Welcome to HCPSS!

Vacancy Pathway

If you are applying to become secretarial/clerical staff, a custodial lead, grounds and maintenance role, and Central Office professionals, you are on our Vacancy pathway.

Step 1: Review the job posting

Before you begin your application, be sure to review the posting for the position in which you are interested. Confirm that you meet the minimum qualifications; have familiarized yourself with the essential position responsibilities, skills, and abilities; and take note of the application requirements and closing date. Note that positions will close at 11:59 PM the date prior to any identified closing date.

Interviews will be limited to those applicants who, in addition to meeting the basic requirements, have experience and education which most closely match the position qualifications and the needs of the school system.

  • If you are not selected to interview, your application status will be displayed as Not Moving Forward.
