Emergency Athletic Coach Hiring Process

Per HCPSS Policy 7120: Selection of Coaches and Advisors of High School Extracurricular Activities, HCPSS has four different categories of coaches: certificated, credentialed, emergency, and volunteer. Coaching vacancies are listed on the HCPSS Staff Hub and are offered to certificated staff first. If vacancies remain, they are classified as emergency coaching vacancies and are posted on the Coaching Vacancies webpage. Please note that coaching positions are paid based on the terms outlined in HCPSS’ negotiated agreement with the HCEA bargaining unit.
Individuals interested in volunteer coaching opportunities should contact the Athletics and Activities Manager (AAM) at the school in which they are interested in working.

Eligibility
HCPSS welcomes individuals 21 years and older who possess a high school diploma (or equivalent) to apply to fill the emergency coaching vacancies.
Individuals must be cleared to work by HCPSS to be eligible to coach either in a paid or voluntary capacity.

To apply for an emergency coaching vacancy, please follow the directions below.
Step 1 – Complete the Athletic Coaching Interest Form
On this form, you will be asked to identify the sport(s) in which you are interested in coaching and briefly describe your experience coaching or playing sports. HCPSS’ Athletics and Activities Managers (AAM) will review your form and see if they have a vacancy that aligns with your interests.
Step 2 – Interview with an Athletics and Activities Manager
If there is a match between your interests and a coaching vacancy at a high school, the school’s AAM will contact you to set up an interview. If you are selected to advance in the hiring process, the AAM will add you to its seasonal roster. You will then need to complete an online application in Workday, HCPSS’ application system.
Step 3 – Gather Your Application Materials and Complete an Online Application
Before you begin your online application, we recommend gathering the following materials:
- Resume
- Transcripts
- Applicable licenses/certificates
Be sure to complete all parts of the online application in Workday, including any supplemental questions noted in the job posting. Incomplete applications will not be considered.
You cannot make changes once your application has been submitted; however, you can withdraw your application and apply again if the position is still posted.
Be sure to monitor your email and the My Tasks section in your Candidate Home in Workday Recruiting in case additional information is required. The To Do tab contains tasks awaiting your action. Select Start to complete your tasks. Monitor your status on the Candidate Home page in the My Applications section.
Step 4 – Supply References
If you have applied because you are on a roster, complete the task in your Workday inbox to add references. Qualifying references include:
- Current supervisor (even for an unrelated position to coaching)
- Prior supervisors
References from co-workers, friends, neighbors, family, or other “character” references do not qualify.
Step 5 – Review and Respond to Your Employment Offer
Review the Offer letter in your Candidate Home in Workday. Check the “I agree” box and click Ok from the drop-down menu to accept the offer.
Step 6 – Complete a Background Check and Pre-Hire Tasks
If you are an external candidate, you will need to complete the MD 486 Background Check process, which includes providing information for all current and prior employers with whom you routinely interacted with children. By Maryland law, employers have up to 20 days to complete their forms. You will not be hired until all employers have returned their forms or the 20 days has elapsed, whichever comes first.
Pre-hire tasks will be presented in your Candidate Home in Workday. Required tasks include:
- Completion of the I-9 employment verification appointment.
- Fingerprinting and uploading documentation to Workday
- Upload your Applicant Card Receipt (the receipt issued by the fingerprinting contractor) following fingerprinting in order to complete this task. You should not go for fingerprinting until this stage in the process.
Step 7 – Participate in Mandatory Training
Once the Office of Recruitment & Hiring has cleared you to work, please reach out to your AAM to discuss the mandatory training you must complete before beginning your coaching duties.
